Refund & Cancellation Policy

1. Policy Overview & Scope

This Refund & Cancellation Policy outlines the conditions under which Net Vertex Hub Learning Co., Ltd. ("Net Vertex Hub", "we", "our") manages workshop seat cancellations, schedule adjustments, and tuition refund requests for in-person studio workshops, specialized clinics, and private technical mentoring programs.

2. Studio Workshop Seat Deposits

Because in-person workshop cohorts in Chiang Mai are strictly capped at 10 to 12 participants to ensure dedicated instructor attention and dual-screen workstation availability, a 30% non-refundable seat deposit is required upon initial enrollment confirmation. This deposit reserves your physical hardware station, instructional slot, and custom printed reference materials.

3. Cancellation & Full/Partial Refund Windows

• More than 14 Calendar Days Prior to Workshop Start: If a cancellation request is received in writing more than 14 days before the first session, you are eligible for a 100% refund of any tuition paid in excess of the 30% deposit, or you may transfer 100% of the entire paid balance toward a future cohort within 12 months without penalty.
• Between 7 and 14 Calendar Days Prior: If written notice is provided between 7 and 14 days before the start date, you are eligible for a 50% refund of tuition paid beyond the deposit, or a one-time cohort transfer subject to a 10% administrative rescheduling fee.
• Fewer than 7 Calendar Days Prior: Cancellations made within 7 days of the scheduled program start date are non-refundable, as studio hardware, instructional scheduling, and workbook preparation will have been finalized.

4. Rescheduling Policy

Students may request one (1) schedule transfer to an upcoming workshop cohort by contacting our admissions office at least seven (7) days prior to the original start date. Rescheduling is subject to seat availability in the requested cohort.

5. Private Mentorship & Active Programs

For the 6-Week Private Technical Mentorship program, once the initial diagnostic session (Week 1) has been conducted and custom trade log audits have begun, tuition is non-refundable. If an emergency arises during the mentoring window, remaining 1-on-1 sessions may be placed on temporary hold for up to six (6) months upon written agreement.

6. Non-Refundable Items

The following items and fees are strictly non-refundable once delivered or incurred:

• Printed or digital Fibonacci Reference Workbooks that have already been dispatched or downloaded.
• Completed one-on-one coaching hours and past chart review clinics.
• Seat reservation deposits for no-shows or cancellations within 7 days of start date.

7. Workshop Postponement by Net Vertex Hub

In the unlikely event that Net Vertex Hub must postpone or cancel a workshop cohort due to severe weather, facility disruption, or instructor illness, enrolled participants will be offered the choice of a full 100% refund (including deposit) or guaranteed priority placement in the rescheduled cohort.

8. Refund Processing Time & Method

Approved refunds are processed within seven to ten (7–10) business days following written confirmation. Refunds are issued using the original payment method (bank transfer or original card payment). Bank handling fees or international wire charges are deducted from the refunded amount where applicable.
